NOTICE OF 2024 ANNUAL MEETING
7:30pm to 8:30 pm
This notice is sent in accordance with the Bylaws of SCCA Southwest Division, Inc. to advise that an annual meeting of the Corporation will be held on Friday, February 16, 2024, and to request your attendance as a member of the Division Board of Directors.
The meeting will be held at The NOLA Motorsports Park, 11075 Nicolle Blvd., Avondale, LA 70094 in conjunction with the SCCA Hoosier Super Tour event being held that weekend. It will be called to order at 7:00 pm and will run until approximately 8:30 pm.
As required by the Bylaws and in order to establish a seat on the Board of Directors, each Regional Director must submit a statement by email to the Divisional Secretary confirming that his/her region will abide by the rules of the Corporation and that he/she is the elected or appointed representative for his/her region. The form for that purpose is attached, and should be completed by the Regional Executive and returned to the division secretary, Rosa Lee Smart at Smart99@me.com, no later than February 1st so that a Board can be constituted for the annual meeting. If an individual other than the Regional Executive is appointed by the region to be its representative on the Board, that individual should be identified on the form, which must still be signed by the RE prior to submission.
The form should be completed and submitted regardless of whether the appointed director will be able to attend the upcoming meeting, however if unable to attend the appointed director may designate an alternate to represent their region at the meeting by completing and submitting to the division secretary the proxy assignment form that is also attached hereto.
An agenda for the meeting will be sent out by February 1st but at minimum will include election of corporate officers for 2024 and review and approval of a financial budget for 2024.
A copy of the recently updated Bylaws is also attached for your records.
